This is just to keep you up to date on some Bureau activities.  

At the bottom is a note sent from the CSD to Bureau Members, which has some useful information about the process.  

There are currently two lists of Bureau members.  One is used mainly by the CSD to send up information and I have not been to ascertain if it has an open archive.  The other is used for interaction by the Bureau, though there has not been too much so far.

Dear members of the Bureau,

Please find some updates and latest news:

Summit Events

Please note that the deadline for requesting the space for organizing an event at the Summit is 15 May 2003.  Please fill in the on-line form posted on http://www.wsisgeneva2003.org/events_set_proj.html before this date.  Please urgently inform your constituencies of this deadline.  

Following the initial request, a complete proposal for the event should be submitted to the host country Secretariat before 30 June 2003.  Please note that the host country Secretariat will manage the Summit events in terms of logistics.  

CS Bureau actions in relation to Summit Events

A complete list of Summit events proposed will be submitted to the CS Bureau on 25 May.  At the same time, the CS Bureau will be provided with all information on Summit facilities available on the Summit premises (Palexpo).  

As a first step, the CS Bureau will have to develop criteria for selecting the feasible projects, depending on the relevance of the requests received.  Secondly, the Bureau will examine the compatibility between the proposed events and the available Summit space and facilities.  In order to speed up the process, it would be advisable to already think about what sets of criteria could be used for selecting the most appropriate projects.  

Depending on available resources, a number of Summit events will be eligible for funding under the Civil Society Facility Fund.  Other events should be entirely financed by their own organizing entities.

The CS Bureau recommendations on Summit events relevance and compatibility with the Summit premises will be transmitted to the Summit Events Steering Committee (Executive Secretariat, Swiss Secretariat and Canton of Geneva).  The final decision will be taken by the Steering Committee.

Next CS Bureau Meeting

The next meeting of the CS Bureau will be held during the Paris Inter-sessional Meeting (15-18 July 2003).  The meeting Agenda will be transmitted to the CS Bureau members during the week of 19 May.  

The CS Bureau members are kindly requested to post their suggestions on the items they wish to include in the meeting Agenda on the bureau at geneva2003.org list.  Also, please inform us of your availability to travel to Paris and attend this meeting.

Format of the Paris Inter-sessional Meeting

The format of the meeting has not been established yet.  The Governmental Bureau will hold a meeting on 19 May.  The outcomes and decisions taken at this meeting will be communicated as soon as available.

Evénements du Sommet

Veuillez noter que la date limite pour annoncer votre intention dorganiser un événement lors du Sommet est le 15 mai 2003.   Veuillez compléter le formulaire posté sur le site http://www.wsisgeneva2003.org/events_set_proj.html avant cette date.  Veuillez informer vos parties constituantes respectives de cette date limite.  

A la suite de la demande initiale, une proposition complète de lévénement doit être soumise au Secrétariat du pays hôte avant le 30 juin 2003.  Veuillez noter que le Secrétariat du pays hôte est responsable de la gestion logistique des événements du Sommet.  

Actions du Bureau SC en relation aux Evénements du Sommet

Une liste complète des événements proposés sera soumise au Bureau SC le 25 mai.  En même temps, le Bureau SC recevra toutes les informations relatives au moyens logistiques disponibles sur le site du Sommet (Palexpo).  

En premier lieu, le Bureau SC devra développer des critères de sélection des événements projetés, en fonction de la pertinence des demandes reçues.  Deuxièmement, le Bureau devra examiner la compatibilité entre les événements proposés et lespace / moyens logistiques disponibles sur le site du Sommet.  Afin daccélérer le processus, il serait dores et déjà souhaitable de réfléchir aux critères de sélection qui pourraient être utilisés pour sélectionner les meilleurs projets.

En fonction de la disponibilité de fonds, un certain nombre dévénements seront éligibles pour un financement par le Fonds de Facilitation de la Société Civile.  Les autres événements devront être entièrement financés par leurs propres organisateurs.

Les recommandations du Bureau SC sur la pertinence et sur la compatibilité avec le site /moyens logistiques du Sommet, seront transmises au Comité de Pilotage des Evénements du Sommet (Secrétariat Exécutif, Secrétariat suisse et Canton de Genève).  La décision finale sera prise par le Comité de Pilotage.

Prochaine réunion du Bureau SC

La prochaine réunion du Bureau SC sera organisée durant la réunion inter-sessions de Paris (15-18 juillet 2003).  Lordre du jour de la réunion sera transmise au membres du Bureau la semaine du 19 mai.  

Les membres du Bureau sont invités à poster leurs suggestions sur les points quils désirent inclure à lordre du jour sur la liste électronique bureau at geneva2003.org. Veuillez également nous informer de votre disponibilité pour participer à la réunion de Paris.

Format de la réunion inter-sessions

Le format de la réunion na pas encore été établi.  Le Bureau gouvernemental se réunira le 19 mai.  Les résultats et les décisions prises à cette réunion seront communiqués dès quelles seront disponibles.
