[WSIS CS-Plenary] Importation of documents to Tunis for WSIS - Additional Information

Dear all, 

 

• Document importation for the Official area of WSIS

In addition to what we already mentioned in our previous mails, we were
informed today that ITU and UN staff will be present at the Kram Exhibition
Centre in Tunis from 8 November to receive and stock documentation sent at
the following address:

Kram, Tunisie 

 

You can nevertheless send your packages as soon as possible: they would be
stocked by the organisers of the Summit at their arrival at the Kram Center.

Find also below the mail we recently sent for additional information.

 

Of course, for better clarification, mention on the boxes which category of
documents it contains (WSIS documents / WSIS-related documents / Documents
for parallel events: see Documents policy guidelines for precise definition
of these terms

Besides, as you may know, WSIS documents and WSIS related documents to be
circulated by observers must be submitted to the ITU documents service
before their distribution (see the ITU Documents policy guidelines,
available at http://www.itu.int/wsis/docs2/tunis/adm/4.doc). 

 

You can submit in advance by now electronic versions of WSIS-related
documents (other non-official and non-administrative documents related to
the Summit or media-documents, to be submitted at wsis-related-docs at itu.int)
to accelerate the administrative approval performed by WSIS staff.  Note
that on-site requests should be submitted for clearance at least 24 hours
prior to the distribution of documentation.

 

• Document importation for the Exhibition Space ICT for all

I refer to the Exhibitor Manual, now available on the ICT4All Exhibition
(www.expo.ict4all-tunis.org/documents/exhi_manual_v1_e.pdf). Otto Frei
(ICT4All organiser) confirmed to us that the official freight forwarder is
the Agency C2T (Tunis). Document pouches for ICT4All exhibition can be sent
at their postal address in Tunis, preferably before 10 November 2005, and
boxes will therefore be delivered to the Exhibition Space before the opening
of the exhibition:

Dear all,

 

Further to what we already mentioned on Tuesday, we confirm that pouched
documents should be sent by post to the address indicated on the documents
policy guidelines:

As mentioned in the FAQs on privileges and immunities for participants in
WSIS (only in French so far, but the English version might be posted soon on
the ITU website, as well as relevant articles of the Host country
agreement), there will be the following: inviolability of documents and the
right to receive documents. The ITU legal office will have a very close look
at the way in which importation of documents for the summit will be managed,
and the ITU received all the necessary guarantees that documents for the
summit will not be blocked or delayed by customs.

We are advised to clearly indicate on the pouch that the documents will be
used in the framework of your participation in WSIS (to ensure it to be
dealt in priority), to get an evidence that you sent the pouch (date and
destination). There might no be any problem as concerns the importation of
documents, but if you notice any problem in this regard, including excessive
delay, the ITU legal office will be ready to take action on that.

 

Note the following:

-          We will have more information on Monday on when ITU or UN staff
would be at the Kram Center to receive and stock documentation received at
Door 3. 

-          We also asked for clarifications on how to send documentation for
your participation in the ICT4all exhibition space, and we would get more
information on that on Monday as well.

-          There will not be custom fees exoneration for the importation of
any documentation in Tunisia.
